Notarisation and apostille in the same meeting.
Two notaries public in-house, appointed by the county administrative board. Everything below is done on video or at your office, and the original usually reaches your client within one to two working days.
Notarisation on video
Your client joins a video meeting with a passport or national ID card. The notary verifies the identity, watches the signature being made and certifies it with an advanced electronic signature. The notarial certificate is then printed, signed in wet ink and stamped, ready for the apostille and the courier.
Several signatories can join the same meeting from different countries and sign one after the other. The meeting takes five to fifteen minutes. We book the meeting directly with the signatories and handle the originals ourselves, so nothing has to be couriered back and forth before the notarisation.
Apostille
An apostille is the certificate that makes a Swedish public document valid in the countries of the Hague Convention of 1961. Since 1 January 2005 only a notary public can issue it in Sweden, according to the Ministry for Foreign Affairs. We issue it in the same meeting as the notarisation, in Swedish, English, Spanish or German.
For countries outside the convention the document instead needs legalisation at the Ministry for Foreign Affairs and the embassy. Since 1 July 2025 the ministry only legalises documents in Swedish or English, under regulation 2025:549. Which route the recipient country requires is your firm’s call, and we answer any questions before the meeting.
Certified copies
We certify copies of passports, registration certificates, articles of association and other documents that a counterparty or a bank asks for. The copy is stamped, signed and, if needed, apostilled in the same session.
Volume at your office
KYC deadlines and large transactions produce peaks: a hundred powers of attorney that must be ready before a market opens. We come to your office and prepare the day before, so that the stamping takes minutes per document instead of hours. With two notaries public, the notarisation and the apostille are issued at the same time. One large bank had 170 powers of attorney notarised and apostilled in a single working day.
Banks and large firms can keep us on a retainer, with one invoice and a fixed price per document.
Powers of attorney for Spain
A Swedish power of attorney is accepted by a Spanish notary when three things are in place: the apostille, a sworn translation if the document is not in Spanish, and a statement that the Swedish notary performs functions equivalent to those of a Spanish notary. We write that statement into the document and notarise it in Spanish, so it is ready to use in Spain without any further steps.
Things you will not hear from us:
“That will take two weeks.”
“You’ll need three appointments for that.”
“Our next available slot is in March.”
We’d rather just get it done.
